Panel events can be some of the most engaging moments in a program, featuring dynamic conversation, varied perspectives, and real-time audience interaction. They also come with their own unique AV challenges. Great panels often look polished. But if the sound isn’t clear, consistent, and well-managed, even the best content can fall flat.

At Moonrise AV, we treat panel discussions as their own format. Not quite a keynote, not quite a fireside chat, and definitely not a free-for-all. Panels require intentional planning on both the technical and logistical side to make sure what’s being said is actually heard.

Here’s how we help planners make sure their panels sound as good as they look:

Mic strategy makes or breaks a panel.

There’s no one-size-fits-all mic setup for a panel. The right choice depends on the number of speakers, their seating configuration, the room size, and the style of moderation.

Some options we commonly recommend:

  • Individual lavalier mics: Best for panels with 2–5 speakers where mobility and visual simplicity matter.

  • Handheld mics on stands: Great for seated panels where passing mics would be distracting but budget or time constraints rule out lavs.

  • Tabletop boundary mics: Sometimes used in smaller or more informal settings, though they’re more sensitive to background noise and less ideal for large rooms.

The key is to plan ahead. Trying to mic a panel 10 minutes before doors open is where things start to unravel. We help planners determine the best setup based on content flow, speaker comfort, and the level of polish desired.

Moderator support is non-negotiable.

A strong moderator keeps the conversation flowing. A well-supported moderator keeps the event flowing.

We make sure the moderator has:

  • A dedicated mic with high-priority gain settings.

  • A clear cueing system for timing, transitions, or audience Q&A.

  • A confidence monitor or screen view if slides, bios, or names are being referenced.

Whether the moderator is a professional or someone internal to the organization, we coach them on how to work with the tech, including how to use the mic, when to pause for audience laughter, and how to manage handoffs. This prep creates smoother pacing and better engagement.

Audience questions don’t have to get messy.

Live Q&A is one of the most valuable parts of a panel and also one of the easiest places for tech to fall apart. Audience members speak too quietly, the mic doesn’t reach them in time, or the panelists can’t hear the question.

We offer a few simple solutions:

  • Wireless audience mics with dedicated runners.

  • Q&A stations placed in aisles.

  • Moderator repetition of each question before panelists respond.

These options are scalable to the room size and budget. The goal is always clarity and flow, making sure the exchange feels natural.

Pre-show checks and cue reviews are essential.

The difference between a smooth panel and one full of awkward pauses often comes down to one thing: preparation.

Before every event, we run a quick cue review with the panel, moderator, and planner. We confirm:

  • Mic preferences

  • Slide or media needs

  • Q&A timing

  • Walk-on and walk-off cues

This only takes a few minutes, but it prevents onstage confusion, missed moments, or panelists speaking into dead mics.

Panel events need more than plug-and-play AV.

Too often, panels are treated as filler content between “main” sessions. With Moonrise as your AV partner, they'll be treated as moments of real conversation, insight, and audience connection. That means thoughtful mic planning, moderator support, and a show flow that’s built for live interaction.

If you’re planning a panel-heavy program, let’s talk. We’ll help you make it sound just as polished as it looks, from start to finish.
