How to Plan AV for Events with Zero Rehearsal Time

Not every event gets the luxury of a full rehearsal. Sometimes the room is not available until the last minute, busy speakers won't arrive until just before doors open, or the schedule is simply too tight to run through everything in advance.


Whatever the reason, events without rehearsal time are more common than most planners would like. The good news is they can still run smoothly with the right approach to AV planning.


Here is how to set yourself up for success when there is no time to practice.


Start with a clear and simplified run of show.


When rehearsal is not an option, clarity becomes everything. Your run of show should be easy to follow, with clear timing, speaker order, and cue notes. This is not the moment for overly complex transitions or last-minute additions that require explanation onsite.

Use a quick cue review instead of a full run-through.


A full rehearsal may not be possible, but a short cue review almost always is. A cue review is a quick conversation between the planner and the AV lead to confirm the essentials. Who is speaking first, how transitions will work, when media plays, and where microphones are positioned.


It takes a few minutes, but it aligns everyone before the program begins. This is often the difference between a show that feels coordinated and one that feels reactive.


Design the setup for flexibility.


When there is no rehearsal, the AV setup should be able to adapt in real time. That means:


  • Having backup microphones ready.

  • Keeping playback systems simple and reliable.

  • Using layouts that allow easy adjustments.

  • Avoiding overly complex cueing that depends on perfect timing.


Flexibility allows the team to respond smoothly if something shifts, which it often does.


Choose a team that can read the room.


A strong AV team watches the flow of the event and adjusts naturally. They anticipate when a speaker is about to begin, hold cues when needed, and move with the rhythm of the program instead of waiting for exact instructions.


This is where experience matters. A team that understands live events can fill in the gaps that rehearsal would normally cover.


Preparation replaces rehearsal.
